The Alameda County Bar Association (ACBA) is a nonprofit, voluntary bar association with 2,100 members and multiple public service programs. Located in Oakland’s Jack London Square, this dynamic, multi-faced office currently has an opening for a part-time Fee Arbitration Program Coordinator.


General Description

The Fee Arbitration Program Coordinator is a non-exempt, part-time position reporting to the Lawyer Referral Service & Fee Arbitration Program Administrator. The Fee Arbitration Program Coordinator is responsible for the administrative functions of the program which include understanding the statute, standards, and all applicable rules of procedure governing the fee arbitration program, and adhering to those standards.

Key Responsibilities

1. Review and process incoming applications, and draft case correspondence in accordance with program rules and deadlines.
2. Analyze submissions to the program and compose notices and other correspondence for disputees, arbitrators, and the Fee Arbitration Committee.
3. Liaise and correspond with Fee Arbitration Committee regarding committee duties including assignment of arbitration to committee chair or designee, deciding jurisdiction disputes, review of arbitrator performance, review of fee arbitration award, and other duties and issues as they arise.
4. Correspond with the State Bar Mandatory Fee Arbitration Program on issues of compliance, special situations, program updates and advisories, arbitrator training programs, and rule changes; prepare State Bar Quarterly reimbursement reports.
5. Maintain and update forms, the fee arbitration database, and volunteer handbook to comply with the statutes and standards governing the program; recommend changes to these standards.
6. Monitor fee arbitration budget with goal of increasing revenue.
7. Create monthly statistical report including information regarding revenue, timelines, and caseload.
8. Maintain arbitrator panel (both lay and attorney arbitrators); monitor arbitrator training records, arbitrator performance; conduct periodic renewal of arbitration panel; run conflicts checks and appoint arbitrators to cases.
9. Maintain call log and note all phone, email, and written case correspondence in physical files and database; update database functions as necessary.
10. Provide general administrative support to the LRS/Fee Arbitration Program Administrator; perform other tasks and duties as assigned.


Minimum Qualifications

B.A. required.
2 years of administrative support experience required.
Bilingual skills are a plus.

Candidate must possess administrative and computer skills, in addition to a positive customer service attitude. Proficiency in MS Word, Excel, and ACCESS is required. Candidate must be able to communicate effectively with a diverse client and attorney population in a productive manner and have strong multi-tasking skills. Candidate should have a strong background in writing and be able to analyze documents and events in relation to the rules and standards that govern the program. Candidate must be able to draft recommendations for the Fee Arbitration Committee, arbitrators, and disputants. Candidate should be able to explain complex rules and compliance issues to attorneys, clients, and arbitrators. Candidate must also be able to work both as a member of a highly diverse team and independently on complex tasks under deadlines.

This is a part-time position of 22.5 hours per week, 60% of a full-time position (.60 FTE). The salary range is $20,000-$23,000 annually depending on experience, plus full benefits.
