Executive Administrative Assistant
Job Description
The Executive Assistant will provide seamless administrative support to the General Manager, Office Manager, and all team members of the Miami office. A qualified candidate must be highly organized, competent in key administrative skills, well-spoken and comfortable in a fast-paced environment.
RECEPTION
Greet visitors and provide for refreshments and meeting facilities
Professionally answer phone calls, take and respond to messages - understand high priority callers
Schedule meetings on behalf of GM and other team members
TRAVEL ARRANGEMENTS
Make domestic/international travel arrangements to team member
Ensure timely submission and approval of team members’ expense reports
SCHEDULE OF MEETINGS
Schedule meetings on behalf of team members with clients, prospects, etc.
Manage conflicting schedules to accommodate meetings with a number of team members/guests
MAINTAIN FILES
Maintain local hard copy files
Document scanning and electronic filing
MANAGE PAPER FLOW
Open mail for GM/Team Members, organize, prioritize and distribute same
Coordinate Supervisory Manager approval for incoming and outgoing correspondence.
MISC. CLERICAL DUTIES
Provide clerical duties (receiving and sending fax, Federal Express packages, etc.)
Order office supplies, maintain printers
Maintain out of office calendar for office, ensure adequate coverage, approve time off
Other Requirements:
This is a true team environment. All Assistants are expected to assist co-workers with overflow in workloads. It is imperative that the team maintain a spirit of open communication and teamwork with managers and other administrative assistants.
Qualifications
Minimum of three years administrative experience
Strong PC skills with the ability to learn and adapt to new technologies. knowledge of MSWord, Excel, PowerPoint, Outlook
Excellent telephone etiquette with the ability to take accurate and detailed messages
Strong ability to manage hectic calendars
Ability to demonstrate good problem-solving skills
Superior team-oriented skills
Ability to multi-task and be a self-starter
Ability to work independently and take initiative
Good understanding of catering orders - ability to choose appropriate food selections and correct amounts based on the number of attendees
Must be flexible to adjust to changing priorities
Reliable and Resourceful
Strong customer focus and ability to set priorities
Ability to use tact and judgment in confidential situations and interface with all levels of professionals.
Strong meeting coordination skills
Excellent organizational skills combined with strong written and verbal communication skills, outstanding interpersonal skills - comfortable dealing with a diverse group of people from senior level executives to line associates
Capable of working in a fast-paced environment requiring good prioritization skills as well as the ability to handle multiple tasks simultaneously and efficiently
